7 Hidden Productivity Problems Slowing Down Growing Nigerian Businesses
Productivity problems can slow down growing Nigerian businesses, even when employees work hard. Your team may spend too much time searching for files, waiting for approvals and asking the same questions again. As your business grows, these small delays can become harder to manage.
Before you buy another tool, look at how work moves through your business. Here are seven hidden problems to check, with simple steps you can take. The examples are illustrations, not reports from Excellium clients.
1. Nobody is sure which file is correct
A colleague sends a quotation by email. Another person edits an older copy. The sales team then has two versions and no clear answer about which one to use.
What to do:
Keep the working file in one agreed place. Give someone responsibility for it. Share a link rather than sending a new attachment each time and make it clear when the file is ready to send.
2. Important decisions get lost in chats
A manager approves a change in a private message, but the person doing the work never sees it. Work stops or continues with the wrong instructions.
What to do:
Record the decision where the right team members can find it. Include what was agreed, who will act and what happens next. Keep private information restricted to people who need it.
3. Approvals depend on chasing people
A request moves from one manager to another because no one knows who should approve it. Staff spend time following up instead of completing the task.
What to do:
Name the approver for each type of request. List the information they need and agree what to do if they are away. Keep a record of the final decision.

4. One person holds all the knowledge
Only one employee knows where a supplier agreement is stored or how to complete a regular task. When that person is away, the rest of the team struggles.
What to do:
Write short instructions for important repeat tasks. Keep them in an agreed team location and give each guide an owner who checks that it stays up to date.
5. Meetings are used to collect basic updates
Managers call meetings because they cannot tell what is finished, what is delayed or who needs help.
What to do:
Use a short update with four parts: work completed, next action, obstacle and person responsible. Hold a meeting when people need to solve a problem or make a decision together.
6. Business files sit in personal accounts
If company work is stored in an employee’s personal account, access can become difficult when their role changes or they leave.
What to do:
List where business files are stored and who controls access. Use company-managed accounts where suitable. Agree who adds access for new staff and removes it when people leave.
7. Different teams use different tools without clear rules
One team shares files in email, another uses a chat app and another uses a separate storage account. People waste time deciding where to look.
What to do:
Agree which tool to use for each job. Write a short guide covering messages, files, meetings and approvals. Check what must be kept before removing old tools or accounts.
A useful question for every problem
Can someone else find the information and continue the work without asking the same person for help? If the answer is no, start by making the next step, owner and storage location clear.
Where Zoho Workplace can help
Start with the work you need to improve
Zoho describes Workplace as a suite of email and collaboration applications [1]. It is worth considering if your team’s messages and documents are scattered across several tools.
A suite can support a better way of working, but your team still needs clear responsibilities and shared rules. Check that the chosen plan includes what you need. A formal approval process or a connection to another system may need extra software or setup.
Try one change first
Choose a task your team repeats, such as preparing and approving a customer quotation. Write down the current steps. Note where people wait, search for information or repeat work.
Agree a simpler process and try it with a small team. Compare the same things before and after: how long it takes to find the right file, how long approval takes or how often people ask for missing information. Use your own results to decide whether to expand the change.
Do we need new software immediately?
Not always. Some problems improve when you name an owner, agree a process and train the team. Consider new software when the current tools cannot support the way you need to work.
Will everyone need training?
People need to understand the new way of working, even if they already know the software. Explain where files belong, which channel to use and how to ask for help.
